We are currently looking for new talented people to join our team at Aspen Institute Romania.

Positions available:

Public Policy Programs Director
Responsibilities:
• Responsible for delivery of the Public Policy Program activities and target revenues according to the annual plan proposed by the AIR executive staff and approved by the AIR Executive Board and GA;
• Working with the PPP team and in coordination with the executive director and AIR Executive Board insures the programming, budgeting and organisation of PPP activities;
• Ensures the conceptual design of the main thematic and program priorities working in coordination with leading companies and program partners for each PPP;
• Responsible for PPP development, including expanding corporate and business participation and institutional partnerships development;
• Development of specific program content, communication, agendas, presentation materials, off and online public distribution content;
• Selection and invitation of experts/participants;
• Development of relations and daily communication with involved actors: mainly AIR members, partner companies and public institutions (ministries, agencies, public regulators etc.), sponsors, likeminded think tanks and academic partners;
• Ensures internal coordination with AIR Public Events director for maximum programming synergies; equally insures programming opportunities with the AIR Leadership Programs/ALA directors;
• Ensures synergies with Aspen International Network of Partners on policy programs and activities.
Success Criteria:
• Implementation of defined projects in time, budget and quality;
• Proactive approach for the continuous improvement of the performance and efficiency of the department initiatives;
• Well-coordinated interface management to all relevant stakeholders;
• Maintenance of all project documentation according to the organization’s developed standards.
Qualifications and Skills:
• MA degree in a relevant field of study and a sound knowledge of current global issues;
• 5+ years of work experience;
• Excellent verbal and written communication skills and fluency in spoken and written English;
• Good drafting and reporting capabilities;
• Solid knowledge of public policy context in Romania and EU (for the seven priority areas defined by the AIR PPP);
• Understanding multi-sector regulatory priorities;
• Experience in running large scale events (budgeting, sales, coordination) and team coordination experience.

Leadership Programs Officer
Responsibilities:
• Under the general supervision of the Leadership Programs Coordinator and supported by contractors, partners and interns, the LPO will be responsible for:
• Assisting in planning and delivering on-site as well as off-site activities and events, which will include coordinating arrangements for participants, negotiating with suppliers, handling logistics, budgeting, preparing and disseminating materials, post-event reporting;
• Coordinating logistical aspects of the organization of the Young Leaders Program and other leadership programs, including receiving application files, liaising with applicants and responding to inquiries, scheduling interviews and managing complex calendars over a number of time zones;
• Providing communications support and assistance to ensure timely responses to inquiries including: acting as liaison with internal & external partners, taking and distributing minutes of meetings; working proactively and taking initiative to support the varying needs of the department;
• Creating, updating and/or maintaining organized files and records, including large databases;
• Supporting the rest of the Aspen team in ensuring positive engagement with all Aspen generated networks of alumni and communities of partners and collaborators;
• Cooperating with the Aspen team and partners in delivering large scale, complex public events.
Qualifications and Skills:
• BA or MA degree in a relevant field of study and a sound knowledge of current global issues;
• Minimum 2 years of experience working in project/event management. Financial and/or administrative experience is highly desirable;
• Excellent verbal and written communication skills and fluency in spoken and written English;
• Proficient in the use of spreadsheets, word processing and presentation software;
• Excellent organizational, administrative, financial and analytical skills are required;
• Exceptional interpersonal skills in collaborating and communicating effectively with others;
• Ability to function under pressure with minimal supervision and handle numerous tasks simultaneously;
• Initiative and the ability to work efficiently in a fast-paced, demanding environment with conflicting and changing priorities;
• Willingness to travel extensively throughout the year, in Romania and abroad.

Public Programs Officer
Responsibilities:
• Work with the Public Programs Manager to put in place robust processes to ensure the project is run effectively and meets its objectives;
• Carry out market research and generate ideas to contribute towards to the development of the events programme including format, content, themes, programme and speakers:
• Work with relevant colleagues and experts to develop the event programme and approach speakers;
• Assisting in planning and delivering on-site as well as off-site activities and events which will include:
-    drafting guest lists and events databases for keynote speakers, introductory speakers and moderators, participants, and media (access, excel and word format);
-    writing and sending out invitations (in English and Romanian), including follow up;
-    managing event correspondence, registration and follow-up;
-    keeping the events and programs participants data-base updated;
-    preparing the written material, readings and the index of readings and conference materials (e-format);
-    preparing, editing and printing conference documentation, synopsis and reports;
-    handling travel arrangements for speakers and participants;
-    negotiating with suppliers, handling logistics, post-event reporting;
• Cooperating with the Aspen team and partners in delivering large scale, complex public events;
• Provide high quality events support and advice to internal staff;
• Contribute to the development of good practice policies on various aspects of events, marketing and communications, including email protocol, standard events formats and templates;
• Organizing a number of different events simultaneously;
Qualifications and Skills:
• BA or MA degree in a relevant field of study and a sound knowledge of current issues;
• Minimum 1 year of experience working in project/event management. Financial and/or administrative experience is highly desirable;
• Excellent verbal and written communication skills and fluency in spoken and written English;
• Proficiency in the use of spreadsheets, word processing and presentation software;
• Excellent organizational, administrative, financial and analytical skills are required;
• Exceptional interpersonal skills in collaborating and communicating effectively with others;
• Ability to function under pressure with minimal supervision and handle numerous tasks simultaneously;
• Initiative and the ability to work efficiently in a fast-paced, demanding environment with conflicting and changing priorities.
